Every implementation begins with a Consultation phase where our team learns about your organisation, its structure, and specific workforce management challenges. We want to feel the heartbeat of the business. We can then configure your dedicated Assyst environment to align with the business looking at how we can streamline processes and configure your pay rules, approval processes, and reporting requirements. Existing employee data is securely migrated, cleansed, and validated to ensure accuracy from the outset giving you access to data and reports in a way you have not experienced before.

Reducing Risk

We recommend you have your own dedicated cloud-based server or host Assyst securely on your own dedicated server. This structure ensures complete data ownership and control, allowing your internal IT policies to operate without compromise while we manage updates, maintenance, and monitoring in the background. We recommend to all clients that taking ownership of their own staff data is key and is something that is unique about Assyst. We want to ensure there is no risk of data contamination, or a single point of failure. Therefore, having dedicated hosting coupled with specific redundancy allows for you to have a low-risk environment.

Unlike many SaaS products that host all clients on a shared infrastructure, Assyst operates on dedicated cloud servers for each client. This approach provides the perfect balance between flexibility and control.

Clients retain full ownership and responsibility for their environment, while we provide technical guidance and support. This structure allows each organisation to apply its own security policies, access controls, and maintenance schedules, ensuring that data protection aligns precisely with its internal IT standards.

Should a client prefer assistance, our team can help source, configure, and maintain the dedicated cloud environment, providing peace of mind without removing control.

Data security is at the heart of everything we do. Every file, form, and transaction processed through Assyst is permission protected within the system and securely stored on UK-based servers compliant with GDPR and ISO-27001 standards.

Access to the system is governed by role-based permissions, ensuring users can only view the data relevant to their role. Multi-factor authentication can be applied through VPN’s for additional protection, and every action within the platform is logged for full traceability.

Regular updates and patches are released to address emerging threats and maintain stability. Our proactive monitoring ensures that performance and security remain consistent, with minimal downtime. Systems are backed up throughout the day and various overnight operations store key day to day reports for quick access.

By maintaining a dedicated environment for each client, Assyst prevents cross-contamination of data and strengthens resilience against external risks.

Implementation Process

Our structured five-phase implementation process ensures a smooth transition to going live and beyond:

Ongoing Partnership and Support

Once live, Assyst becomes part of your operational framework. Our Helpdesk is available Monday to Friday, 8am–6pm, with guaranteed one-hour response times. Regular bi-monthly service reviews in person or online maintains system performance and identifies opportunities for optimisation.

Continuous software updates, security improvements, and feature enhancements are deployed automatically, ensuring your platform evolves alongside your business.

Employees use the Assyst Staff app to sign in and out via NFC tags, view shifts, request holidays, access payslips, and receive company announcements. 

Managers approve timesheets, assign tasks, and monitor attendance in real time through desktop or mobile dashboards. 

HR & Payroll Teams gain a unified view of personnel records, approvals, and pay calculations, ensuring that data flows smoothly and accurately across departments.
